The problem

The supplier sells a product farmers dose through their irrigation, so every quote depends on the farm: how many pump stations, the hectares each one waters, the flow and the pressure. Each quote meant gathering those details by hand and working out the setup and quantities in a spreadsheet.

Once a quote was accepted, it had to be typed in again for invoicing, and payments were tracked in a separate accounting system. Soil and leaf reports came from the lab as spreadsheets too, and reading them against the right norms for each crop depended on one agronomist.

The system

Flairr built one system for the supplier and its sub-accounts, each with its own clients, quotes and price list. The quote form takes each pump station's irrigation type, hectares, water flow and pressure, and works out the setup, pump and product quantities from the price list. The team can fill it in, or share it with the farmer by link, site photos and video included.

Accepted quotes become jobs, and invoices and credit notes sync to Zoho Books, with payments flowing back to the dashboard. Lab reports for soil and leaves are uploaded and judged block by block against each crop's norms. A savings calculator then shows, per hectare, how much fertiliser a farmer can cut and what that saves.

Guardrails

Nothing goes out unchecked: a team member drafts the quote or invoice, and an owner or manager reviews the email and PDF before it's sent. Each sub-account sees only its own clients and numbers. Imported lab values are checked on a review screen before they count, and the agronomist makes the final fertiliser call: the calculator models it, it doesn't decide.
